Sandyhills Bay Holiday Park Terms & Conditions

Last updated: 12/05/2026 These terms apply to self-catering and glamping bookings at Sandyhills Bay.

These terms and conditions apply to bookings of self-catering holiday homes and wooden glamping pods at Sandyhills Bay Holiday Park. Touring and camping bookings are covered under a separate set of terms at /sandyhills-bay/touring-and-camping/terms-and-conditions/.

It is your responsibility to check the details on your booking confirmation are correct and notify us immediately of any discrepancies. We cannot accept responsibility for any errors not corrected prior to arrival. Advance bookings are advisable for Easter, Bank Holidays and during the July/August high season.

 

  1. Booking & Payment

Self-catering holiday homes: a non-refundable booking deposit of £100 per week or short break is payable by debit or credit card at time of booking. Bookings are on a weekly basis (Saturday to Saturday, Friday to Friday or Monday to Monday) or short breaks of 4 nights (Monday to Friday) or 3 nights (Friday to Monday). The balance must be paid at least 28 days before arrival.

Glamping pods: a non-refundable booking deposit of £30 is payable by debit or credit card at time of booking. The balance is due 28 days before arrival. Minimum stay is 2 nights.

Last-minute bookings (within 28 days of arrival) are payable in full at time of booking. If you fail to make balance payments on time, the accommodation will be cancelled and offered for re-letting.

  1. Cancellation & Refunds

We do not offer cancellation insurance and strongly advise you to take out appropriate insurance. All cancellations must be confirmed by email or letter.

If you cancel before your holiday starts you will receive a refund according to the following scale:

– Cancellation 0 to 14 days before arrival and non-arrivals: no refund

– Cancellation 15 to 28 days before arrival: 25% refund

– Cancellation 29 to 56 days before arrival: 50% refund

– Cancellation 57 days or more before arrival: full refund

The deposit (£100 for self-catering, £30 for glamping) is non-refundable.

In extreme circumstances we may need to alter, amend or cancel your booking. We will contact you as soon as possible and you may be offered an alternative or full refund. We do not pay compensation for cancellations due to Force Majeure.

  1. Changes to Your Booking

We will endeavour to amend your booking as best we can if we have accommodation available. Please call us on 01557 870 267 if you wish to make a change.

  1. Arrival, Departure & Keys

Self-catering holiday homes: arrival from 4.30pm, departure by 9am.

Glamping pods: arrival from 4pm, departure by 10am.

If your accommodation isn’t ready, you’re welcome to use park facilities while you wait. We reserve the right to delay check-in times if necessary. Please telephone the park if you intend to arrive after 5pm so we can make arrangements for late arrival. The care of your accommodation is your responsibility for the duration of your stay and it must be left clean and tidy. No refunds are offered for early departures.

  1. Occupancy & Party Composition

We are a holiday park, so we don’t accept bookings for stays related to work, residential use, or as a base to travel to work.

Two-bedroom holiday homes sleep up to four people. Three-bedroom holiday homes sleep up to six people. Glamping pods sleep up to four people. The number of people staying must not exceed the unit’s capacity.

We don’t accept bookings from customers aged 17 or under. All bookings must include a person aged at least 18. The company reserves the right to enter accommodation under special circumstances or emergencies, at any time. We don’t permit gazebos, tents or similar items beside holiday homes.

  1. Dogs & Pets

Self-catering holiday homes:

– Dogs charged at a weekly or short-break price

– Maximum two dogs per unit

– Please bring a bed or cage. Dogs aren’t allowed on seating or beds.

– Dogs must never be left alone in accommodation unless caged

– No puppies

– Please mention at the time of booking that you’d like to bring a dog so we can place you in a pet-friendly unit

 

Glamping pods:

– All pods are pet-friendly

– Additional charge applies for a dog

– No puppies

– Please mention at the time of booking that you’re bringing a dog

 

All accommodation:

– Dogs must be kept on a lead at all times on park and on nearby paths

– Please clean up after your dog (doggy bags available in the shop)

– Dogs found chasing farm animals will result in the dog and owners being asked to leave the park

– If we feel a dog is causing a nuisance, you’ll be required to remove it

– Animals other than dogs require specific permission from the park

 

Assistance dogs are welcome (with Identification Book or appropriate evidence from Assistance Dogs UK) and are exempt from charges. They must be kept on a lead and are allowed in all park facilities.

 

If anyone in your party has allergies, we strongly recommend booking accommodation that doesn’t accept pets.

 

  1. Damage, Breakages & Deposits

The hirer is responsible for the contents of the holiday home or pod during their stay. If accommodation is left in an extremely messy or untidy state, you’ll be charged for extra cleaning. All damages and losses are chargeable and should be reported to reception before departure, or an invoice will be sent.

 

  1. Park Rules & Behaviour

This is a family park. Noise should be kept to a minimum from 10.30pm, with absolute quiet between midnight and 8am.

We reserve the right to terminate bookings where customers are noisy, offensive, disruptive or commit a serious breach of these terms or park rules. Where the breach is capable of remedy, we will give written notice and a reasonable period to remedy the breach.

We don’t allow the use or storage of firearms, weapons or illegal substances on park. We reserve the right to refuse entry or services to any person who appears impaired by alcohol or recreational drugs.

All accommodation and facilities are strictly non-smoking. Smoking in accommodation will result in additional cleaning charges.

Vehicles must abide by the park’s 10mph speed limit and be taxed, insured and MOT-compliant. Learner drivers are not permitted on the park. Quad bikes, mini mopeds, scooters and motorised off-road vehicles aren’t permitted. Jet skis aren’t allowed on the park or in the bay.

Raised purpose-built BBQs are allowed. Disposable BBQs must be raised off the ground and only placed in bins once cold. No open fires or fire pits anywhere on the park or beach. No BBQs inside tents.

The use of drones on the holiday park is strictly prohibited.

 

  1. Use of Park Facilities

Laundry facilities are coin-operated with coins available from the shop. Iron, ironing board and sink available. Washing lines aren’t permitted.

The park, including all facilities, is open from 1 April (or Easter if earlier) until 31 October.

 

  1. Beach Access, Tides & Safety

The beach at Sandyhills Bay is accessible directly from the park via dune-edge paths and is a public beach not under the park’s management. The Solway Firth has a significant tidal range and tides can come in quickly. Guests are responsible for their own safety on the beach, including supervising children at all times, checking tide times before setting out, and exercising appropriate caution when swimming, paddling or walking the causeway to Rough Island. The park is not liable for any injury, loss or accident occurring on the beach or in the surrounding tidal waters.

 

  1. Liability

We cannot accept responsibility for temporary non-function of facilities, withdrawal of activities, or for theft, damage or injury caused during your stay. All persons, cars and vehicles and their contents enter the grounds at the owner’s risk. Wardens reserve the right to refuse entry or request customers to leave. Adverse weather conditions may result in cancellation of some activities.

You are responsible for your personal possessions on park and in your accommodation. If you leave possessions behind, we’ll try to return them, subject to a minimum fee of £10 plus postage.

 

  1. Force Majeure

Circumstances amounting to force majeure include any event we could not, even with due care, foresee or avoid. These include destruction or damage through fire, flood, explosion, storm or other weather damage, break-in, criminal damage or any similar event beyond our control. Also included: riots or civil strife, industrial action, natural or nuclear disaster, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.

  1. Contact & Complaints

If something goes wrong during your stay, please notify reception staff immediately so we can help. It’s harder to investigate complaints after you’ve left. If you decide to stay and don’t give us an opportunity to put things right, you won’t be entitled to a refund.
